What this helps you do.

A call's length is not always coaching time. The coach needs to decide which hours belong in the log.

A logging process that stops on an uncertain name instead of creating a duplicate client.

The workflow.

Test with non-confidential material. Resolve the permissions and provider settings before using client information.

  1. Start with your existing sheet. Keep its columns, totals and formulas. Confirm what you need to record under the current rules for your credential.
  2. Match the client to an existing row. If the name is ambiguous, stop and check it. Add a new client only through a deliberate confirmation.
  3. Enter the date, hours and paid or pro bono status. Count coaching time you can verify, not the length of a calendar event.
  4. Review the entry in the sheet. Read totals from the sheet so another display cannot develop its own version of the record.
  5. Choose whether finished calls should start a logging workflow. Brightwood's existing call-triggered option is off at the client's choice. It does not track progress toward a credential.

This guide describes recordkeeping. It does not certify compliance or confirm eligibility for a credential. Check the current requirements with ICF.

Keep a record of your decisions.

Write down the source material, approval step and destination before you connect the workflow. Revisit those choices when your process changes.
