A proposal should reflect the conversation. Reusing a format can save retyping, but it should never invent an agreement.

A proposal draft with the scope, timing and terms left for your approval.

The workflow.

Test with non-confidential material. Resolve the permissions and provider settings before using client information.

  1. Start with notes you have permission to use. Separate confirmed needs from ideas that still need discussion.
  2. Provide the sections and approved language from your proposal format. Do not include another client's private details.
  3. Ask for a draft based only on the conversation. Leave missing scope, price, timing and terms blank for your decision.
  4. Check every commitment before sharing the proposal. Send it yourself through your usual process.

Keep a record of your decisions.

Write down the source material, approval step and destination before you connect the workflow. Revisit those choices when your process changes.
