One Private System Behind a 32-Client Practice

Jenna Stoliker runs the Center for Conscious Leadership. Her back office lived in six separate places that didn't talk to each other: scheduling in Acuity, client files, Zoom session transcripts, email follow-ups, her ICF hour log, and the bookkeeping. 1. The Challenge

Jenna's practice ran on six separate back-office systems that never talked to each other: scheduling in Acuity, client file storage, Zoom transcripts, email follow-ups, the ICF hour log, and the bookkeeping. Each one did its own job fine. Nothing tied them together except Jenna.

So she was the integration layer. Every session left a trail behind it: a transcript to deal with, a follow-up to write, files to put away, hours to log, books to keep current. That trail got longer with every client, and with 32 active clients it was piling up fast.

And one rule mattered as much as any feature. Her clients could never be asked to adopt a portal, an app, or a login. Whatever we built had to be operator-only and invisible on their side. They keep getting normal emails from Jenna, and everything else happens behind the scenes.

Clients Who Should Never See Software

Her clients couldn't be asked to log into a portal or learn a tool. The system had to be operator-only: invisible to them, so all they ever see is a normal email.

2. Engineering Approach

We built one system that Jenna runs by herself, and it plugs into the tools she already had instead of replacing them. The whole time, the rule was that her clients never see any of it. Here's what it connects.

No new calendar to learn. Acuity stays the front door, and a booking there is what sets the rest of the system in motion.

Zoom transcripts pulled in on their own

Each session's transcript comes into the system automatically, with no manual export or paste, ready to turn into a follow-up.

Files sorted into Drive and Dropbox

Client files land in the right place after a session, across both Drive and Dropbox, instead of Jenna filing everything by hand.

Follow-ups that read like a normal email from Jenna

Clients get an ordinary email from her. There's no portal, no login, no attachment they have to go fetch from some system. That was the entire point of building it operator-only.

The ICF hour log kept current on its own

Each session's hours go into the log, individual and group, so the credential record isn't a separate thing she has to remember to update.

Bookkeeping in the same pipeline

The financial side runs through the same system and stays current next to the client work, instead of turning into a month-end scramble.

One operator, nothing client-facing

Jenna runs the whole thing herself, and it's private to her practice. From a client's side there's no software at all, which is exactly how she wanted it.

3. Results & Impact

It went live in June 2026 with 32 clients onboarded at launch. Six back-office functions now run through one system that Jenna alone operates, and from the client side nothing changed. No portal, no app, no login. Just normal emails, on time.
